  • How to copy or archive files by year using the command line and robocopy

    I got this question via e-mail and decided I would post the answer here in a blog. I want transfer all files created in Office Word 2003 by year (annual batchs - ex: 2005, 2006, etc.) to external HD. How can to do this? I will appreciate your answer. Edgar To do this via the command line you can use Robocopy which is present in Windows Vista and Windows 7.  If you have Windows XP download the Server 2003 Resource Toolkit and install it.  Robocopy will be part of the install and found in the install directory. The actual command would look like this and would need to be entered into a command prompt: for /L %x in (2009,-1,2000) do robocopy source destination \%x *.doc? /minage:%x0101 /maxage:%x1231 /s To break it down a bit.. for /L %x in (2009,-1,2000) do This creates a counter from 2009 up in steps of -1 (or down in steps of 1) until 2000 is reached.  Each time the counter changes it is set into %x, so %x will become 2009, 2008 and so on.  It then executes the command after to "do". robocopy source destination \%x *.doc? /minage:%x0101 /maxage:%x1231 /s The robocopy command is very flexible.  Details of it can be found on the wiki page here .  The first two parameters are the sounce and destination locations.  so it might be c:\users\david\documents and F:\document_backup.  Note the \%x on the end.  This means it will put the files inside a folder on the destination location that matches the year you are archiving. *.doc? is a limiter to the files to be copied - if you want all files, simply remove it.  This will copy all Office 2003 and 2007 document files - if you only want Office 2003, use *.doc and don't include the question mark. The minage and maxage state how old the file is.  It can either be in days or a date in the form of yyyymmdd.  So with the %x set to 2009, the command will have /minage:20090101 /maxage:20091231 which equates to everything in 2009 and so on. The /s copies all subdirectories too You can optionally put the /MOV...

  • What to do when you get the error "This modification is not allowed because the selection is locked" in Word 2007

    I was contacted by Gerald who had this problem and after a bit of research I found the answer. The text explaining how to do this can be found at http://www.word07.com/locking.htm , however to explain a bit more, here are a few pictures and words. The problem arises when you "group" some text in the developer tab, so the answer is to ungroup it. 1st off, ensure the developer tab is showing by going to the file (round pearl menu button in the top left corner) and selecting the button on the bottom of the menu called "Word Options". This will bring you up a screen as below Now ensure the developer toolbar is enabled with a tick as in the picture Go to the document and find the text that you can't modify Ensure the developer toolbar is displayed and click in the document where the text is and then press the Group button in the toolbar and press the Ungroup option as below That is it - you should now be able to modify the text without any problems.   • Finding out where something is in Office 2007 and where it was in Office 2003 (Outlook, Word, Excel, PowerPoint and Access)

    I saw this recently and thought I had to blog it - if you know something was there in Office 2003 and now can't find it in Office 2007 then look at these spreadsheets to get some advice.     I saw a blog entry at Susan Bradley's blog about her now deploying Office 2007 with a classic menu . It was worth of a blog link for all those who want to stick to the old, old ways where you search for items over multiple menus (especially if you turn on personalised menus which hide all the things you don't use regularly). The tool looks slick, but then I found a 2nd one are realised that some cunning ISVs had seen this as their great opportunity to fill a gap that is very unlikely to be filled by Microsoft.   • How to get rid of the installer / configuration dialog when running Office 2007 and Office 2003 on the same system - for Vista and other versions of Windows

    I have been asked this many times following up on the blog entry Installing Office 2003 and Office 2007 on the same system where once people have removed the problem with the End User Licensing Agreement (EULA) appearing every time they start Office they then get the dialogs below every time they switch between Word 2007 and Word 2003. when starting Word 2003 when starting Word 2007 The fix to the problem is very simple as it turns out - simply run the following commands (by pressing the Windows Key+R or typing it into the Start/Run command box. Use the line with Office\11.0 if you have Office 2003 installed and Office\12.0 if you have Office 2007 installed. You can use both if you have both installed : reg add HKCU\Software\Microsoft\Office\11.0\Word\Options /v NoReReg /t REG_DWORD /d 1 reg add HKCU\Software\Microsoft\Office\12.0\Word\Options /v NoReReg /t REG_DWORD /d 1 That is it.   • Why should a small business use Office 2007

    Once again I thought I would put pen to e-paper on the top reasons I give people to move to Office 2007. I don't think there are many businesses out there that use a PC and don't use some form of office productivity suite and while most use Microsoft Office XX (where XX could be 97, 2000, XP or 2003), some use other products that in my opinion just don't compare for a business that wants to look great and work efficiently. With Office offering a massive choice of products and features, these are the headlines I use when talking to people. For those with a version of Microsoft Office, but not 2007 More Professional and Impressive documents and materials Use Microsoft Publisher 2007 to build sales and marketing materials that look agency made, but are actually in-house work The updated Microsoft Word 2007 has many features to ensure your documents have a professional, consistent look and feel throughout the whole document conforming to your brand goals (no matter how big or small they might be). The readability tests will also share with you how easy it is for someone to understand the document. Writing can be so unengaging, yet pictures are often very time consuming to get right. Using the new text features, features such as subtle shading or reflections or glowing words are a click away and can make text dazzle. For the words that can be better communicated in a picture the impressive Smart Art feature can take a simple list and turn it into a process diagram, or an organisation chart and all with any of the new professional style schemes to be sure to enhance the impact. Most people can recognise an "old" Excel charts - the colours are bland and the charts often quite flat. For this very reason the charts in Office 2007 have been given a significant facelift to ensure they look professional, while still conveying the information they are supposed to.   • Chris Parkes: Microsoft Office Word 2007 and OpenOffice.org 2.2.0 Mail Merge Comparison

    I know I need to wear my flame proof shorts for posting this, however, Chris has done an amazing post comparing the pain, process and time of doing a mail merge in Office 2007 and Open Office. He found that something that he could do without trouble in Word was not easy to understand and ONCE ALL SETUP, still took five times longer to then just process itself. When time is money, this pays for itself in Office 2007 (or 2003 or XP :-) ) All in all, the whole process took just under fifty minutes , five times longer than it did using Microsoft Office Word 2007 although this was considerably longer on my first few attempts as I struggled to locate the functionality in OOo and how to put the whole thing together. The conclusion... The time taken to complete essential tasks therefore is extremely important. If organisational end users were to be so unproductive then staffing overheads would considerably increase. Whereas Microsoft Word 2007 handled the process with the minimum of fuss and flexibility, using OOo actually felt like a development tool at times and a throw back to the days of Word 95. I've included the comprehensive screen shots here with the aim of allowing anyone to recreate this experiment. Thankfully, this is a science project, not a business.   • Installing Office 2003 and Office 2007 on the same system

    [updated 16:42 9th May 2007 with url for MS Support of this] [updated 9:45 22nd July 2007 with url to fix for install dialog coming up with word] I was recently asked in Office 2003 and Office 2007 can co-exist on the same system. The answer is yes, except for Outlook which as in previous versions get a little precious if this is attempted (it will not let you do this, btw). You can choose to have them both installed to the same drive or one to an external hard drive, it does not matter. The key option is when installing Office 2007 is to customise the options and select to NOT uninstall the previous versions. When you install both copies of Office to be installed on 1 machine that switching between Word 2003 and Word 2007 will result in an install dialog box coming up.   • May security updates for Server DNS and Office 2003/2007 and IE7. Also Quicktime needs an update

    I did a quick scan and it seems that this month Office is the main target of updates, along with one critical one for Windows Server (for DNS RPC attack) and one for IE7. Worth a quick download and install :-) I also got this in the mail today: Apple QuickTime 7.x must be upgraded to 7.1.5 or higher.   • How to remove those spaces before, after and inbetween paragraphs in Word 2007 (Part of Office 2007)

    I got this mail on the blog today, so decided I would post a solution: 2007 Vista Student and Office Edition does not allow me to create one line spacing in Address Headings but okay within the body of the letter, is this a glitch. I have never experienced this in my former Word Programs. In the dialog box it does specify single spacing. Any advice would be appreciated I have created a simple document and you might notice that there is a big gap between each sentence. This is caused by both line spacing and space before or after the paragraphs. I will walk you through the process I went through to make things look less spaced out. To do all of this I will be using just one icon on the ribbon bar - the one circled below If I hover over this, you can see it is for line spacing. The 1st thing I did was highlight my text and try setting the line spacing to 1.0 - you can see the result is that the text is slightly closer together. Next I clicked the "Remove Space Before Paragraph" option and you will notice that things now look as they should do. Now if I select the top line as a heading, all the space has gone, but there is a huge chunck of space at the top, doing the same as above to the heading sorted that out too :-) The finished product ttfn David Technorati tags: Office 2007 , Tips

  • How to open Office 2007 (Word, Excel, and PowerPoint 2007) files on Office 2000, Office XP and Office 2003 by downloading the Microsoft Office Compatibility Pack for File Formats

    I get asked this question quite often, so I thought I would point out the download location for the tool to make files work between Office 2000, XP, 2003 and 2007. Just to cover off some details - Office 2007 can save in Office 97-2003 file format as well as the new Open XML and PDF file formats. Using this download, files can be opened and saved in Office 2007 format in Office 2000 and later. Of special note is that if you are using Microsoft Office XP or 2003 you MUST install all High-Priority updates from Microsoft Update before downloading the Compatibility Pack . Also, if you don't have those Office programs, but you have the viewers (Microsoft Office Word Viewer 2003, Excel Viewer 2003, and PowerPoint Viewer 2003) then you can use the pack to view files saved in these new formats. For more information about the Compatibility Pack, see Knowledge Base article 924074 . Also Note: If you use Microsoft Word 2000 or Microsoft Word 2002 to read or write documents containing complex scripts, please see http://support.microsoft.com/kb/925451 for information to enable Word 2007 documents to be displayed correctly in your version of Word.   • Help to make the Office 2007 document type a standard (Open XML) - click the link

    I love standards - they make life easier. TCP is one, ODF is one, SNA is one, ASCII and EBDIC are. Even PDF is one. It just makes life easier. In this connected world standards are a good thing and sometimes more than one standard is very good. Microsoft has offered the Open XML (Office 2007 document format) as a standard too. We can have it as a standard in a short time frame or a long time frame. I want you to sign the petition to help it happen in the short time frame. Even Novell are supporting this as they see it as just making their customers lives easier. Go here and sign the petition to help move things forward in the short time frame. If you want to see how developers could use the standard have a look at http://openxmldeveloper.org/posts.aspx . You might wonder why I am asking you to do this. Well I've read the text at the microsoft.com site on Open XML and I like the idea of this being a public standard that people can write to without having to pay for the right to do so and the knowledge that writing to the standard will give them good interoperability. My 1st three years after University was writing document converters, including those for Microsoft Office and Open XML would have made my life MUCH MUCH easier. To aid interoperability, XML-based file formats can unlock data in documents and help integrate front- and back-office processes. Recognising these benefits, Microsoft has implemented XML-based formats in successive releases of Office. Both public and private sector customers have expressed their preference for making Open XML an open standard so that they have broad rights to use, without cost, any Microsoft patents necessary to implement all or part of the format. Responding to this, Microsoft and others called for the standardisation of Open XML. On 7 Dec 2006 Ecma International, a highly respected standardisation body, approved the adoption of Open XML as an international open standard.     I saw these links in the latest Microsoft downloads e-mail, but the more I looked into this the more I was amazed: Training materials you can use to deliver training on Word 2007 to your customers Tools that load onto a customers PC to enable them to find Word 2003 commands in Word 2007 Tools that put a useful set of getting started tools into a "Getting Started" tab within word Tools to build your own customised Ribbon tabs I'm going to start with the simplest of tools, the Interactive Command Reference . The Word 2007 Guide- Word 2003 to Word 2007 interactive command reference guide is available online, but the link is to the standalone downloadable version - which gives you an emulation of Word 2003, you click around on it and it then tells you where to find the selected item in Word 2007. great for that "Where has my command gone" conversations. Getting Started Tab for Word 2007 (download here) As you can see this tab has several features - the 1st one takes you off to the online version of the downloadable tool stated above.
